Booking and Reservation Policy

Welcome to CAMS TRAVEL PERU. We are thrilled to help you plan your journey through Peru. To ensure a smooth planning process and to secure your desired itinerary, please read our Booking and Reservation Policy carefully. By submitting a booking request, you acknowledge and accept the following terms.

1. How to Make a Reservation

All reservations must be made through our official channels: our website, direct email, or our authorized customer service representatives.

  • Inquiry: Once you select a tour or request a custom itinerary, our team will provide a detailed proposal and quote.

  • Booking Form: To proceed, you must fill out our official booking form, providing accurate details for every traveler in your party.

  • Confirmation: A reservation is only considered officially confirmed once we have received the required advance payment (see our Advance Payment Policy) and you have received an official Confirmation Email and Voucher from our operations team.

2. Required Traveler Information

Due to strict regulations enforced by the Peruvian Ministry of Culture and local transportation companies (airlines and train operators), we require accurate personal information at the time of booking.

You must provide the following for each traveler:

  • Full Name (exactly as it appears on the passport)

  • Passport Number

  • Nationality

  • Date of Birth

  • Gender

Important: The passport used to book must be the exact same passport you bring to Peru. If you are in the process of renewing your passport, please inform us immediately. Entrance to Machu Picchu and the Inca Trail will be denied by government officials if the passport details do not match the tickets perfectly.

3. Machu Picchu, Inca Trail, and Special Permits

Access to historical sites in the Cusco region is heavily regulated to preserve the heritage.

  • Availability: All bookings for the Inca Trail, Machu Picchu, Huayna Picchu, and Machu Picchu Mountain are subject to availability issued by the Peruvian Government. We cannot guarantee your spot until the permits are physically secured by our team.

  • Non-Transferable: Once purchased, tickets and permits are strictly personal, non-transferable, and non-refundable. Name changes, date changes, or passport number changes are not permitted by law.

  • Early Booking: We highly recommend booking these services several months in advance, particularly for the high season (May to October).

4. Itinerary Modifications by the Client

We understand that travel plans can change. We will do our best to accommodate requests to modify your itinerary, subject to the following conditions:

  • Standard Tours: Requests to change dates for standard day tours or transfers must be submitted in writing at least 72 hours before the scheduled service. Changes are subject to availability and any applicable fare differences.

  • Regulated Tickets: As stated above, dates for train tickets, flights, and entrance permits to Machu Picchu or the Inca Trail cannot be modified once purchased. If you must change your date, you will be required to purchase new tickets at your own expense, subject to availability.

5. Medical and Fitness Requirements

Some of our tours take place at high altitudes (above 3,000 meters / 9,800 feet) and involve strenuous physical activity.

  • It is the traveler’s responsibility to consult with a physician prior to booking to ensure they are fit for high-altitude travel and trekking.

  • Please inform us at the time of booking of any pre-existing medical conditions, severe allergies, or dietary restrictions so we can make necessary accommodations where possible.

6. Travel Insurance

CAMS TRAVEL PERU strictly requires all travelers to obtain comprehensive travel insurance prior to arrival. Your insurance should cover trip cancellation, delays, medical emergencies, high-altitude trekking (if applicable), and medical evacuation. We are not liable for costs incurred due to unforeseen travel disruptions or medical emergencies.
